Yes. The Badge Scanner reads virtually any QR-coded or barcoded badge, whoever produced it. You can keep your existing registration provider and add lead capture on top. There is no lock-in and no requirement to move your registration.

We want the whole stand team to have access to The Badge Scanner, because that means more leads get captured and the event is more successful.

We agree on a number of licences per exhibitor with the organiser before the show. There is an option for exhibitors to buy additional user licences.

Every scan feeds into a single company account, so exhibitor stakeholders see performance across the full team in one place: leads per person, quality metrics, and when the stand was busiest so you can manage staffing.

No. Typically organisers will either:

  • Include The Badge Scanner as part of the exhibition package
    or
  • Allow exhibitors to purchase their own licence.

Including it as part of the package attains the best pricing, and gives you as the organiser a complete picture of how the show is performing for your exhibitors. That data is especially powerful when compared year on year, and helps you prove the relevance of the show when selling stand space.

If you choose to allow exhibitors to purchase their own licences, you can set the pricing, which may include some margin. Remember, you’re not just providing an app – you’re also providing access to the visitor data that you’ve captured, and that has a value. 

You provide two things: your visitor data and your exhibitor list. From there our team can email every exhibitor, onboarding every stand, answering questions, and send reminders to anyone who has not yet started. The setup work sits with us, unless you want to do it.

Don’t worry if you haven’t asked your visitors their shoe size! The badge scanner is set up to be able to take a wide range of fields, including contact details, LinkedIn profile, company size, and spending budget, but it’s not a requirement that you provide all of this data. The main things that exhibitors are interested in are name, organisation name, and email address. 

If you already have software to produce badges, it may have a feature to add a personalised QR code. As long as that QR is unique to each visitor, and you can access the ID number that’s used to produce it (which is normally part of your registrations repot), then you’re good to go.

You don’t hear this often in events: You decide the cost.

Surprisingly quickly. It’s nice to have a few weeks to get user adoption maximised, but it can take one day at a push.

  1. Tell us how many exhibitors you have and we’ll send you a quote.
  2. After accepting the quote, send us your exhibitor list and event logo. We’ll get the event set up and exhibitors on board.
  3. A QR code (or barcode) needs to be printed on each badge. If you don’t have this capability already, talk to us as we can help.

Exhibitors can export them as a spreadsheet any time they like – even during the show. 

Leads go cold quickly after a show, so the sales team can start following up while the conversation is still fresh.

They can request that spreadsheet to be emailed to them from the app, or see it on our web portal.

Exhibitors can record a conversation as a voice memo on the stand instead of typing notes while the visitor is still in front of them. They can even record their whole conversation.

The recording is converted to text automatically and saved against the lead, ready to upload to the CRM without having to re-play it.

AI features such as voice transcription are optional and require organiser opt-in.

Attendee data is processed in line with UK and EU data protection requirements. Visitors consent to their details being shared when their badge is scanned, and data is only shared with the exhibitor who scanned it. Full details of our data handling process are available.
